The secret to winning event bids
Winning a major event bid isn't about the best venue or the biggest budget. It's strategy, preparation and partnerships turned into a story the rights holder believes.
The work runs across fourteen moves — from aligning the event with the city's vision, to building relationships with rights holders, to a bid document that shows exactly why the city fits.
Picture a city ready to welcome thousands of visitors, hotels full, arenas buzzing, leaders confident they've secured one of the world's great events. How did they do it? Not with a great venue alone. Behind every won bid is a sequence of deliberate moves.
- Align the event with the city's vision. Winning cities chase events that fit their strengths and values, not every opportunity.
- Build relationships with rights holders. The decision-makers hold the keys. Engage them early and prove you're serious.
- Line up a local event organiser. No city delivers alone. A trusted partner on the ground runs the show.
- Ready the host city ecosystem. Accommodation, transport and services for attendees, participants and media — or a clear plan to build them.
- Secure the right venue. The venue is the heart of the event. If it doesn't meet the mark, plan the upgrade or temporary fix.
- Do the research. Financial demands, operational needs, commercial opportunities like media rights and sponsorship. Fewer surprises, stronger bid.
- Evaluate the event's true impact. Weigh the long-term effect on the city's economy, environment and reputation, not just short-term profit.
- Balance effort and impact. Use impact/effort analysis to focus resources on the events that return the most.
- Craft the bid strategy. More than a list of facts — a narrative for why this city is the right choice, with all stakeholders aligned.
- Get stakeholders on board. Hotels, restaurants, government, media. Secure agreements early, with clear roles and risk-sharing.
- Prepare the bid document. Meet every requirement and show what makes the city unique.
- Build internal commitment. From the mayor's office to the smallest local business, everyone has to believe in the vision.
- Follow the rules of the process. Meet deadlines, submit on time, tick every box. Treat the bid like the competition it is.
- Sell the dream. Convince the decision-makers you offer the best experience, infrastructure and legacy.
Every step connects to the next. The research (step 6) feeds the impact evaluation (step 7); the ecosystem and venue (steps 4 and 5) decide whether the city can deliver what the event owner is weighing. It's the same logic as the major event funnel, told from the inside.
Cities don't win with the best venue or the biggest budget. They win by turning strategy, preparation and partnerships into a story rights holders believe.
