The secret to event planning success

Event planning is the process of turning an idea into a well-executed experience. It isn't project management, event management or master planning — those sit before and around it.

At its core it answers three questions — why, what, how — and runs across nine steps, from master planning to post-event review.

Event planning gets treated as a mysterious art. It isn't. The confusion mostly comes from mixing it up with three neighbouring things, so start by clearing those away.

What event planning is not

It isn't project management — that's making sure the right resources, processes and systems are in place to execute the tasks, setting goals, assigning responsibility, tracking progress. It isn't event management either — overseeing the tools, processes and resources to run the event: strategy, budgeting, logistics, branding. And it isn't master planning — the big picture of vision, strategy and stakeholders. Master planning is a separate, earlier phase.

  1. Master planning. Clarify the vision and big-picture goals.
  2. Event design. Design the experience across every touchpoint.
  3. Event inventory. Identify all the resources, from venues to supplies.
  4. Production planning. Build the detailed plan for how it all comes together.
  5. Cost management. Keep production costs aligned to the budget.
  6. Co-planning. Align teams and stakeholders around one plan.
  7. Progress tracking. Monitor progress so nothing slips.
  8. Task preparation. Break the work into manageable tasks with owners.
  9. Post-event review. Review, find what to improve, refine for next time.

These steps turn into action across the six phases of event production. Poor planning leads to logistical failures, unhappy attendees and budget overruns; a plan done well leads to attendees who are not just satisfied but eager to come back.
